How to Enter

  1. Register with the website then log in
  2. Complete the online entry form.
  3. After all entries have been processed, clubs will be invoiced by e-mail for the fees for accepted entries.

Swimmers may not bring a bag larger than a small drawstring bag onto poolside. This restriction will be strictly enforced.

Club Entries

For this competition we will accept entries in the form of files created by club statistics systems, such as HyTek Team Manager and Team Unify. We will accept the following file formats: .SD3, .CL2, .HY3

Before the competition we will publish "Meet Files" in the following formats: .EV3, .HYV

This is integrated into the online entry system. Clubs may continue to submit entries directly online.

Some Considerations:

  • Submission of a file of entries replaces all individual entries submitted previously by you or anyone else for your club.
  • You may submit updated files. In this case, the new entries replace all previous entries.
  • Once you have submitted a file of entries, those entries will be shown in all summaries of entries received. If you want to amend entries, you may either submit a replacement file or amend entries online.
  • You may submit separate files of LC and SC times, in which case, we will take the time that is most advantageous to the swimmer. If you do this, both files must be submitted together. (The entry system includes provision for submission of two files. We will publish separate meet files containing LC and SC times).
  • Limited technical support will be available close to the closing date. Clubs are strongly recommended to attempt to submit an entry file as early as possible to ensure there is sufficient time to investigate any problems. Entries submitted early can be replaced (by submitting a new file) or modified (by changing individual entries online) up to the closing date.

Note: It is not possible to import para-swimming entries. Para-swimming entries must be submitted using the individual Entry Form. These entries will not be replaced by importing club entries.

Base and Automatic Times

Provisional base and automatic qualifying times are now available. Please report any anomalies to serentries@swimmeets.org.

The following principles have been used to set qualifying times.

  1. Based on entries received in 2018
  2. Automatic times set to accept 55% of target number. No automatic time to be faster than the slowest swimmer accepted for the Swim England Summer Meet in 2018.
  3. Base times set to include 120% of target number. [Some swimmers who achieve the base time will not be accepted].
  4. No swimmer will be accepted with a time slower than a rejected swimmer in a younger age group

All times must be set in a level 1, 2 or 3 meet no earlier than 1st June 2018. (5th May 2018 for multi-classification entries.)

Number of Swimmers Per Event

All swimmers who have achieved the automatic qualifying time shall be accepted for that event. If there is space available, swimmers who have not achieved the automatic qualifying time but have achieved the base time may be accepted. Those swimmers who are closest to the automatic time shall be accepted first. The number of additional swimmers that can be accepted will be determined on an event by event basis. The target number of swimmers for each event is as follows.

Boys/Men 15 Years 16 Years 17 Years 18 & Over
50m 18 18 18 18
100m 13 13 13 13
200m 13 13 13 13
400m 9 9 9 9
800m 8 8 8 8
1500m 8 8 8 8

There are different QTs for 17 Years and 18/Over to ensure that any swimmer with a realistic chance of qualifying for the British Championships or the Swim England Summer Meet can swim. These swimmers will compete together in the 17/Over age group in the Region Championships.

Girls/Ladies 15 Years 16 Years 17 & Over
50m 24 24 24
100m 17 17 17
200m 17 17 17
400m 12 12 12
800m 12 12 12
1500m 10 10 10

Because girls mature earlier, there is no need for different QTs for 18/Over.

The number of swimmers accepted may need to be adjusted to ensure that times are "progessive". No swimmer will be accepted with a slower entry time than a swimmer in a younger age grouo who has been rejected.

Spectator Entry

To eliminate the large amount of cash handled relating to spectator entry, This year we will be taking card payments on the door. This will include credit and debit cards, including contactless, and Apple Pay and Google Pay.

If you want to pay with cash, please bring the correct amount. We will not have a large float of change.

Spectator fees will be:

Spectator entry: £6 per day
Programme: £4 for a programme that covers the complete day

Times from Easter Meets

The closing date for these championships is the Tuesday after Easter. You SHOULD be able to use times recorded in Easter Meets, but there is an element of risk.

All times MUST be on rankings by 10am on Wednesday 24th April. If, for ANY reason, an individual swim or a complete meet are not loaded on rankings by that time, entries will not be accepted. Because of the very short period between the closing date and the competition, we don't have time to change entries because they cannot be validated against rankings.

We recommend that you check rankings at about 6pm on Tuesday 23rd April and that you do not use times that do not appear at that time.

We recommend that clubs running meets over Easter submit times for rankings as soon as possible after the end of the competition. All things being equal, Swim England load times to rankings in the order received.
